Recurring Tasks¶
docCentrum allows you to define a set of tasks that will be issued on a repeating basis.
Currently, we support tasks being issued on the same day every month, or on the same day on the same month each year.
We currently do not support recurrence schedules that span more than one year.
Set Up¶
To create a new recurrence schedule:
- Access the Admin Center
- Go to
Recurring Tasksfrom the left hand navigation - Click
Create Recurrence - Give the recurrence a Title
- Set the schedule
- Set the day of the month this task(s) will be issued
- Set the month of the year which this task(s) will be issued
- Set the Due Date Gap in days
- This is the number of days after the task will be issued that the tasks will be due
- Set the users that will be the task recipients
- Set the groups that will be the task recipients
- Set a Template Group that will be used for task notifications
- Set an
Assigned Byto indicate the issuer of the tasks
Next, set up the actual task details that will be issued. You can create multiple tasks to be sent out in a single recurrence.
- Click
Add Task, the Task Editor panel opens - Enter the
Path, this is the URL to the item to be read - Enter a File Name, this is optional
- Enter a Title, this is a single line description of the task. This is shown in Task Rollup lists
- Enter a useful Description of why the user is requested to read this time
- Enter a Media Type, this is primarily used to drive the icon shown in Task Rollup lists
- Set the Read Type
- Set the Priority
- Optionally, set a Quiz
- Click Save
You will finally need to click Save at the top of the Recurrence editor to commit all changes
Issuing Tasks from a Recurrence¶
By default, the docCentrum background service runs every night at midnight UTC, and will issue tasks for any recurrence that is due to run now.
You can issue tasks for a recurrence immediately by clicking the Issue Tasks Now button.
You can only issue tasks for a recurrence that has been saved.
Viewing previously run recurrences¶
You can click the View Instances button to show a list of all previously run instances for this recurrence.
You can only view instances for a recurrence that has been saved.
