Notification Templates¶
This area lets you create and modify the templates used to generate email notifications.
Template Details¶
Here are the critical details about a notification template that is important to understand which one is used when a notification is generated
Template Type¶
This is either New Notification, Overdue, Upcoming Due Date, Read Receipt, Reminder depending on the scenario.
New Notification emails are sent immediately when a task is issued
Overdue emails are sent overnight for all tasks where the due date is now in the past
Upcoming Due Date emails are sent overnight for all tasks that will be due in 7 days
Read Receipt emails are sent after a user has marked a task as complete
Reminder emails are sent to a user after the due date has passed
Template Group¶
When a task is issued, an optional Template Group is specified. The value used when issuing the task must match the Template Group specified here in the Notification Templates editor.
When a notification is generated, the first active template is found with the matching Template Group.
Active¶
When a notification is generated, the first active template is found with the matching Template Group. If no template group was specified, the first active template with no specified Template Group is used.
Preview Template¶
When you are editing a notification template, you can get a preview of what the email will look like by clicking the Preview button in the command bar. This will display a popup that lets you select an existing task to see how that email would look when issued for that task.
Template Help¶
The Template Help provides inline assistance for authoring templates. It provides a list of Tokens that can be used within a template that will be swapped out for real values when a notification is generated.
Clone Template¶
You can quickly create a copy of an existing template by clicking the Clone button on the right-most column of the grid of templates.
When you do this, the template editor is opened with all details copied from the source template, but with the title showing - Clone to indicate that this is a clone. You can change all of the details and when you hit Save, this template will be saved as a brand new notification template.
